How we collect, use, and protect your personal information.

1. Who We Are

Ogma Intelligence Limited is a technology company registered in Ireland. We are the data controller for personal data processed through this website.

For any data protection matters, contact us at info@ogmaintelligence.ai.

We have not appointed a Data Protection Officer. Our processing activities do not meet the criteria in Article 37 of the GDPR that would make a DPO appointment mandatory.

2. Information We Collect

2.1 Information you give us through the contact form

When you submit our contact form we collect:

  • name
  • email address
  • subject of the enquiry
  • message content
  • company name (optional)
  • phone number (optional)

Providing this information is voluntary. If you do not provide the required fields you will not be able to submit the form, but you are not under any statutory or contractual obligation to do so.

2.2 Information collected automatically

When you visit the site, our web server records technical data needed to deliver pages and protect against abuse: IP address, browser type and version, pages requested, and timestamps.

When you submit the contact form, we additionally store the IP address from which the submission was made alongside the enquiry record. This is used only to investigate spam and abuse.

We do not use third-party analytics, advertising networks, or tracking services.

3. How We Use Your Information and the Legal Basis

We process personal data for the following purposes:

  • Responding to enquiries you submit through the contact form. Legal basis: Article 6(1)(f) GDPR - our legitimate interest in answering business enquiries directed at us.
  • Protecting the site against automated spam and abuse. Legal basis: Article 6(1)(f) GDPR - our legitimate interest in operating a secure website.
  • Operational and security maintenance of the website (server logs, error diagnostics). Legal basis: Article 6(1)(f) GDPR - our legitimate interest in keeping the service available and secure.
  • Complying with legal obligations. Legal basis: Article 6(1)(c) GDPR.

We do not perform automated decision-making or profiling that produces legal or similarly significant effects.

4. How Long We Keep Your Information

  • Contact form enquiries: retained for the time needed to handle your enquiry and any follow-up arising from it, with a hard ceiling of 36 months for one-off enquiries that do not lead to engagement. If your enquiry leads to an active business engagement, we may retain it for the duration of that engagement plus 7 years from its conclusion, in line with general business records retention practice in Ireland.
  • Web server access logs (containing IP): retained for 30 days, then deleted automatically. Logs flagged in connection with abuse investigations may be retained longer.
  • Anti-abuse ban records: retained for the duration of the ban.

5. Recipients and Service Providers

We do not sell, rent, share, or otherwise disclose your personal data to third parties for their own purposes.

To operate the site we use a small number of service providers who process personal data only on our behalf, under written processor agreements, and only for the purposes set out in this policy:

  • a hosting and database provider located within the European Economic Area, who hosts the application server and database;
  • an email service provider established in a country covered by an EU adequacy decision (see section 6), who delivers contact-form notification emails to our internal mailbox.

These providers do not use your data for their own purposes. The current list of named providers is available on request to info@ogmaintelligence.ai.

We will not transfer your data to other recipients except where we are required to do so by law.

6. International Transfers

Your data is processed within the European Economic Area (Ireland and Germany), with one exception: the email notification of your contact-form submission is delivered to our Proton Mail mailbox in Switzerland. Switzerland has been recognised by the European Commission as providing an adequate level of data protection (Commission Decision of 26 July 2000), so the transfer takes place under Article 45 of the GDPR and requires no additional safeguards.

7. Your Rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you (Article 15)
  • Rectify inaccurate or incomplete data (Article 16)
  • Erase your data (Article 17)
  • Restrict processing (Article 18)
  • Object to processing carried out on the basis of legitimate interests (Article 21)
  • Data portability (Article 20)
  • Withdraw consent at any time, where processing is based on consent (Article 7(3)). Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.

To exercise any of these rights, email info@ogmaintelligence.ai. We respond within one month as required by Article 12(3) GDPR. For complex requests we may extend the response period by a further two months and will tell you within the first month if we need to do so.

8. Right to Lodge a Complaint

If you believe we have not handled your personal data lawfully, you have the right to lodge a complaint with the Data Protection Commission, Ireland's data protection supervisory authority. Current contact details and an online complaint form are published on dataprotection.ie.

You may also lodge a complaint in the EU member state of your habitual residence, place of work, or place of the alleged infringement.

9. Security

We implement technical and organisational measures appropriate to the nature of the data we process, including encryption of all site traffic in transit, restricted access controls on data stores and infrastructure, multi-layered protection against automated spam and abuse, and regular security updates to dependencies and operating systems.

No system can be guaranteed 100% secure. If we become aware of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the Data Protection Commission within 72 hours and notify affected individuals where required (Articles 33 and 34 GDPR).

10. Changes to This Policy

We may update this privacy policy. The "Last updated" date at the top of this page reflects the date of the most recent revision. If we make a material change that affects how we process your personal data, we will inform you by a prominent notice on this page before the change takes effect, and where appropriate we will contact you directly.
